Why your credit card cashback wasn't credited

Quick answer. Cashback that never arrives is likely to be one of six things, and five of them are written into your card's terms. In the order we suggest checking them: the category is excluded, you hit a monthly cap, the shop is coded as something else, the cashback has not posted yet, the purchase was refunded, or a condition on the rate was not met. Start at the top of that list. Eleven of the 23 Indian cards in our data earn nothing at all on fuel, which is the first thing to rule out.

Our advice is to work down this list in order, because we think the earlier reasons bite more often than the later ones.

Does that category earn anything at all?

The first thing to check, we suggest, is whether the category earns anything at all. Banks may exclude far more than most people expect, and the exclusions are rarely on the marketing page.

SBI's own terms are blunt about fuel:

"Cashback is not applicable on fuel spends."

And it goes much wider than fuel. SBI's terms carry a list of categories headed "Below categories will not be eligible for Cashback benefit", covering rent, utilities, insurance, education, wallet top-ups, jewellery, railways, tolls and government payments.

HDFC is the same in its own words:

"With effect from 1st January 2023, Rent payments and Government related transactions will NOT earn Reward Points."

Had you already hit the monthly ceiling?

The second thing to check, we suggest, is whether you had already hit the monthly ceiling. Seven of the cards in our data record a monthly cap.

The trap is not the cap itself. It is that one cap often covers several things at once.

The ₹500/month cashback cap on Axis ACE is shared with that card's 5% Google Pay bill payments. The ₹1,200/month cashback cap on HSBC Live+ is shared across dining, groceries, shopping and utilities.

A shared cap is likely the one people miss, because each individual purchase looks like it should have earned.

Do this: add up everything you spent in that category for the whole month, not just the purchase you are asking about. Which card to use for each shop is a different question, and our which-card guide may answer it.

Was the shop coded as something else?

The third thing, we suggest, is how the shop was classified, which is not always what the shop sells.

Every card machine and payment page carries a category code, and it appears to be set by the bank that signed the shop up rather than by the shop itself. That code is what your card reads, so a restaurant inside a hotel may bill as a hotel.

This may also be why some cards name shops instead of categories. HDFC lists them one by one:

"10 online merchants qualifying for 5% CashBack are Amazon, BookMyShow, Cult.fit, Flipkart, Myntra, Sony LIV, Swiggy, Tata CLiQ, Uber & Zomato"

A named list is exact. Order from a restaurant that is not on it and the higher rate may not apply, however similar the purchase feels.

Do this: check whether your card's higher rate is tied to a named list of shops or to a whole category, because the named lists are exact.

Has it simply not posted yet?

The fourth reason is likely the least alarming one: timing.

Cashback may be posted once per statement cycle rather than at the moment you pay. SBI's own worked example uses a cycle running the 16th of one month to the 15th of the next:

"cashback earned in the Feb month cycle (16th Jan-15th Feb) will be credited on 17th Feb."

A purchase made just after a statement closes may therefore sit for most of a month before anything appears.

Do this: wait until the next full statement before treating it as missing.

Was the purchase refunded?

The fifth reason may be that the purchase was refunded. SBI states this plainly:

"In case the cardholder reverses a transaction, the corresponding cashback earned on the transaction will also be reversed"

Converting a purchase to EMI does the same thing, which catches people out because the credit arrives first and leaves later:

"In case of conversion of a transaction to EMI at a later date, cashback earned on such transaction will be reversed during the same billing statement month as EMI conversion."

On the statement this may look like a missing credit, when it is actually a credit that arrived and then left.

Do this: look for a matching reversal on the same statement rather than a missing credit.

Was there a condition on the rate?

The sixth reason may be a condition attached to the rate that was not met.

Some rates need a minimum spend, some need the purchase routed through the bank's own portal, and some may only apply in the first few months. SBI sets a floor on the transaction itself:

"Card Cashback is not applicable on transactions less than ₹100."

Below that, nothing is earned at all.

Do this: read the rate's own footnote, because the condition is almost never in the headline.

If none of those six explains it, our advice is to call the bank.

How long should cashback take? Usually one statement cycle. Wait for a full statement to close before treating it as missing.

Does fuel ever earn cashback? Usually a little, never much - no card in our data earns more than 1% on fuel, and eleven of the 23 earn nothing at all. SBI, for one, refunds the fuel surcharge instead - "1% Fuel Surcharge Waiver across all Petrol Pumps in India" - which is a fee being waived rather than a reward being earned.

Why did a food delivery order not count as dining? Because the code the shop is registered under decides the category, not what it sells. Some cards also restrict the rate to a named list of shops.

Can cashback be taken back after it is paid? Yes, if the purchase is refunded or reversed.

Is a cap monthly or per statement? It depends on the card, and the two are not the same thing. Check the wording in your own terms.
